Privacy Policy of Lanex Corporation

Lanex Corporation (hereinafter the “Company”) acknowledges the importance and the social responsibility of protection of the personal information in providing the customers with information system services including system development, system operation, and maintenance, and hereby declares that, by establishing the following policy to provide our executives and employees with education and training and build a management system for the protection of the personal information, the Company ensure the continuous efforts to promote the protection of the personal information.

1. Management System for Protection of Personal Information

The Company will establish a management system for "Protection of Personal Information" and comply with it.

2. Acquisition, Use, Provision, Outsourcing, and Safety Control Measures of Personal Information

  1. The Company will clarify the purpose of use for acquiring the personal information, and use the personal information only to the extent of such purpose.
  2. The personal information will be used or provided within the scope of the purpose of use.
  3. The Company will take safety control measures to prevent the personal information from being used beyond the purpose of use.
  4. The Company may outsource the services dealing with the personal information to an external outsourcing contractor. In this case, the Company will make an appropriate agreement with the contractor and provide the contractor with guidance and training to take rational safety control measures. Personal Information will be managed precisely in the latest condition to a reasonable extent according to a purpose of use.

3. Safety Control Measures to Protect Personal Information

The Company will prescribe and implement the safety control measures to protect the personal information from leakage, loss or damage. Furthermore, the Company will set and implement the procedures to prevent the occurrence of problems and promptly take corrective measures when improvement is required.

4. Compliance with Laws, Regulations and other Rules

The Company will comply with the laws and regulations, and other rules established by the government applied to the handling of the personal information held by it.

5. Continuous Improvement of Management System for Protection of Personal Information

The Company will implement continuous improvement of the management system for the personal information protection, and operate and maintain the management system in appropriate manners.

Purpose of Use of Personal Information

The purposes of use of the personal information handled by the Company are as follows:

1. Personal Information Directly Acquired from Customers

The Company will use the personal information acquired from the customers for the following purposes only:

  1. 1) Executing a contract made between the customer and the Company
  2. 2) Contacting the customer to provide a meeting schedule
  3. 3) Providing the customer with after-sales services for products of the Company
  4. 4) Sending information regarding events, campaigns and new products of the Company
  5. 5) Reply to an inquiry from the customer

2. Personal Information Directly Acquired from Employees of the Company

The Company will use the personal information acquired from the employees for the following purposes only:

  1. 1) Personnel management (e.g. performance evaluation)
  2. 2) Wage and salary management (e.g. payment of salaries and severance pay)
  3. 3) Health management (e.g. health examination)
  4. 4) Employee benefits
  5. 5) Operation management (e.g. internal communication, any kind of reports)

3. Indirectly Acquired Personal Information

The Company will not acquire personal information indirectly. However, the Company may indirectly acquire and temporarily retain information including the personal information in order to operate projects such as system testing and system maintenance, and the personal information will be used only to the extent of such purposes. After completion of the development or the termination of the maintenance contract, the Company will handle the personal information in appropriate manners such as by deleting or returning the personal information to the client of the Company.

4. Personal Information Collected in the Hiring Process

The Company will use the personal information such as name, address, telephone number and email address provided by applicants during the hiring process for the Company's recruitment purpose only, such as to provide the applicants with the date of an orientation or a job interview.

5. The preceding Articles 1, 2 and 4, are the purposes of use of the personal information subject to disclosure

 Provision and Disclosure of Personal Information to Third Parties 

1. Provision and Disclosure of Personal Information to Third Parties

The Company will not provide the personal information to any third parties without the consent of the person, except in the following cases:

  1. 1) Such provision is required pursuant to laws and regulations.
  2. 2) Such provision is required by law enforcement, such as the police and courts.
  3. 3) Handling of personal information is necessary for the protection of the lives, physical health, or property of an individual and in which it is difficult to obtain the consent of the person.
  4. 4) Consent of the person concerned is obtained for disclosure of the personal information to third parties.
  5. 5) In the case where the Company provides the personal information within the scope necessary for the achievement of the purpose of use under the appropriate supervision of the Company.

 Personal Information Subject to Disclosure 

I. Notification of purpose of use of Disclosed Personal Information

The Company will comply with a request from the person without any delay in the case where the person makes a request for the notification of purpose of use regarding the personal information subject to disclosure that contains the corresponding information. However, the Company will not notify the person concerned if any of (1) through (3) below apply or the purpose of use of the personal information that identifies the person concerned is clear pursuant to (4). In this case, the Company will notify the person thereof and clarify the reason without any delay.


1) Cases in which notifying the person concerned of the purpose of use to the personal information or publicly announcing it are likely to endanger the lives, physical health, properties, or other rights or interests of the person or a third party

2) Cases in which notifying the person concerned of the purpose of use to the personal information or publicly announcing it is likely to cause harm to the rights, competitive position, or other legitimate interests of the Company.

3) Cases in which it is necessary to cooperate with a state organ or a local government in executing the affairs prescribed by laws and regulations and in which notifying the person of the purpose of use or publicly announcing it are likely to impede the execution of the affairs

4) Every purpose of use of the personal information subject to disclosure (excluding cases falling under (1) through (3) above)

II. Disclosure of Personal Information Subject to Disclosure

The Company will comply with a request from the person without any delay if the person makes a request for the disclosure of the personal information subject to disclosure that identifies the person (such disclosure included notifying the person concerned that the entity as no such personal information that identifies the person concerned) and disclose the personal information subject to disclosure to the person in writing without any delay.

However, the Company will not disclose the whole or part of the personal information subject to the disclosure if any of (1) through (3) below apply. In this case, the Company will notify the person thereof and clarify the reason without any delay.

1) Cases in which the disclosure is likely to endanger the lives, physical health, properties, or other rights or interests of the person or a third party
2) Cases in which disclosure is likely to seriously impede the proper execution of the business of the Company
3) Cases in which disclosure violates laws and regulations

III. Correction of, Addition to or Deletion of Personal Information Subject to Disclosure

When the Company is requested by the person to correct, make an addition to or delete the personal information subject to disclosure as may lead to the identification of the person on the ground that the personal data is contrary to the fact, the Company shall, except in cases in which special procedures are prescribed by any other laws and regulations for such correction, addition or deletion, make a necessary investigation without delay within the scope necessary for the achievement of the purpose of use and, on the basis of the results, correct, add, or delete the retained personal data.

IV. Refusal of Use or Provision of Personal Information Subject to Disclosure

The Company will comply with the request from the person without any delay in the case where the person concerned may request from the Company suspension of use, erasure, and suspension of provision to third parties and will notify the person if the company takes measures without any delay. However, the Company will not suspend the use, erase, suspend the provision concerned if any of (1) through (3) below applies. In this case, the Company will notify the person thereof and clarify the reason without any delay.

1) Cases in which the disclosure is likely to endanger the lives, physical health, properties, or other rights or interests of the person or a third party
2) Cases in which disclosure is likely to seriously impede the proper execution of the business of the Company
3) Cases in which disclosure violates laws and regulations

V. Disclosure Request Process

For a disclosure request, download a PDF request form from (1) below and fill out. An identity confirmation document(s) of the person described in (2) is required to be attached. Mail the complete set of the documents to the General Affairs Department, Lanex Corporation. An agent may request for disclosure on behalf of the person. For a disclosure request from an agent, attach additional documents described in (3). Please review your documents before mailing as incomplete documents will not be processed and be returned to the sender.

  2. There are three types of form, depending on your request. Please make sure you use the correct one:
    1. Request for disclosure of personal information or notification of purpose of use
    2. Request for correction of personal information
    3. Request for suspension of use or deletion of personal information
  3. ※ Only the item that has been requested for disclosure by using the designated form will be disclosed.

    1. (i) A copy of one of the following:
      1. Driver's license
      2. Passport
      3. Health insurance card
      4. Alien resident certificate
      5. Basic resident register card

    3. (ii) An official copy of one of the following:
      1. Certificate of residence
      2. Certificate of alien registration
    4. *If a response by mail is required, the Company will send the mail to the requester's official residential address stated in the original copy.
    5. *The legal domicile information on the copy must be obscured completely.
  7. b. In the case where the disclosure requester is a company or an employee of a company
    1. Employment verification letter that confirms the current or former employee's employment status
  1. (3) Documents for Proof of Agent's Identity

  2. a. Request from a parent or guardian of the person

  3. Documents described in (i) AND (ii) must be submitted:
    1. (i) A copy of one of the following:
      1. Certificate of the Family Register
      2. Certificate of Individual Records
      3. Official letter issued by the Family Court
      4. Guardianship certificate issued by the Family Court
    2. *The legal domicile information on the copy must be obscured completely.
    3. (ii) an identity confirmation document of the parent or guardian described in (2)-a above
    4. * The copy must be issued within 30 days prior to the application date.

  4. b. Request from an agent authorised by the person

    6. Registration Certificate of the seal affixed on Power of Attorney
    7. An identity confirmation document of the agent described in (2)-a above
    8. * If a response by mail is required, the Company will send the mail to the requester's official residential address stated in the original copy.
    9. * The legal domicile information on the copy must be obscured completely.
    10. * The Company will contact the agent when the documents provided are incomplete. However, if the agent does not provide the additional information requested from the company within the specified period, the request will be deemed not to have been filed and the submitted documents will be returned to the sender.

  7.  * We do not charge any fees for requesting notification of usage objectives, disclosure, amendment, deletion or termination of use.
